3. Our lawful basis for using your information

Under UK data protection law, we need a lawful basis for processing your personal information. Depending on the circumstances, we may rely on:

Contract
Where processing your information is necessary to take steps at your request before entering into a contract or to provide the services you have booked.

Legal obligation
Where we are required to retain or process information to comply with legal, accounting or tax requirements.

Legitimate interests
Where processing is reasonably necessary for operating and protecting our business, managing customer relationships, resolving disputes, improving our services or maintaining the security of our website, provided those interests do not override your rights.

Consent
Where we specifically ask for your permission, such as where we ask whether we may use your wedding footage for marketing purposes. You can withdraw your consent at any time.

4. Wedding footage and editing

The nature of our service means that wedding footage may contain personal information about a large number of people.

We process this footage for the purpose of providing the service you have booked, including:

  • Receiving and transferring footage from returned memory cards

  • Storing working copies of the footage

  • Reviewing and editing footage

  • Producing your finished wedding home movie

  • Delivering your finished film and raw footage

  • Retaining copies for the limited period described below

We will not intentionally use footage from your wedding for advertising, social media, our website, promotional materials or portfolio purposes unless we have obtained separate permission to do so. Giving marketing permission is optional and will not affect the service you receive.

5. How long we keep your information

We only retain personal information for as long as reasonably necessary for the purpose for which it was collected, including where we need to meet legal, accounting or tax requirements.

Wedding footage and finished films

We will normally retain both your raw wedding footage and your finished wedding home movie for 18 months from your wedding or event date. This gives you a reasonable period in which to contact us if you experience a problem with your delivered files. After this period, the footage and finished film may be permanently deleted and we cannot guarantee that we will be able to recover them. You may ask us to delete your footage sooner. We will normally honour this request unless we have a legitimate or legal reason to retain particular information. Once you have received your files, we strongly recommend keeping your own secure backup. Something Borrowed Camcorders should not be treated as a permanent storage or archival service.

Booking and financial records

Certain booking, transaction and financial information may need to be retained for longer where required for accounting, tax, legal or business record-keeping purposes.

6. Sharing your information

We do not sell your personal information. We may share personal information with trusted third parties where reasonably necessary to operate our business and provide our services.

These may include:

  • Our website and hosting provider

  • Payment processors

  • Delivery and courier companies

  • Cloud storage and file-transfer providers

  • Email and communications providers

  • Accounting or bookkeeping services

  • Professional advisers where necessary

  • Technology providers used to edit, store or deliver your footage

We only share the information reasonably necessary for the relevant purpose. We may also disclose information where required by law or where necessary to establish, exercise or defend legal claims.

7. Wix

Our website is built and hosted using Wix. When you interact with our website, submit forms or make payments, certain personal information may therefore be processed through Wix and its associated services. Wix operates its own systems and privacy practices. You can find further information about how Wix processes personal information in Wix's Privacy Policy.

8. International transfers

Some of the technology providers we use may process or store information outside the United Kingdom. Where personal information is transferred internationally, we will take reasonable steps to ensure appropriate safeguards are in place as required by applicable UK data protection law.

9. Cookies and analytics

Our website may use cookies and similar technologies to:

  • Make the website function correctly

  • Remember preferences

  • Understand how visitors use the website

  • Measure website performance

  • Support security and fraud prevention

Where required, non-essential cookies will only be used with your consent. You can manage your cookie preferences through the cookie controls provided on our website.

10. Marketing communications

We will not automatically add you to a marketing mailing list simply because you submit a booking request or make a booking. If we introduce email marketing and you choose to receive it, you can unsubscribe at any time using the unsubscribe option provided or by contacting us. Service communications relating to an enquiry, booking, payment, delivery, return or film are not marketing communications and may still be sent where necessary to provide the service you have requested.

11. Marketing use of wedding footage

We may occasionally ask customers for permission to use selected footage, still images or extracts from their finished wedding film on our:

  • Website

  • Social media channels

  • Portfolio

  • Advertising

  • Other promotional materials

We will only do this where you have separately agreed to it. Marketing permission is entirely optional and is not a condition of booking Something Borrowed Camcorders. Where our use is based on your consent, you can withdraw that consent for future use by contacting us. Withdrawal will not affect use that took place before consent was withdrawn, and we may not be able to remove material that has already been distributed or shared by third parties.

12. Security

We take reasonable technical and organisational measures to protect the personal information and wedding footage in our possession against accidental loss, unauthorised access, misuse, alteration or disclosure. However, no online storage, file-transfer or internet-based system can be guaranteed to be completely secure.

  • Withdraw consent where we rely on consent to process your information

These rights are not absolute and may depend on the circumstances and our legal obligations. To exercise any of these rights, please contact us using the details below. You will not normally have to pay a fee to exercise your rights.

14. Complaints

If you have concerns about how we use your personal information, please contact us first so that we have an opportunity to address them. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's independent data protection regulator. Further information is available on the ICO website.

15. Changes to this Privacy Notice

We may update this Privacy Notice from time to time to reflect changes to our services, technology, suppliers or legal requirements. The latest version will be published on our website with the date it was last updated.
